Importing a Text Data File If you have used another program to create a text database to describe your files, use the Import feature of ImageAXS to import that information into your collections. Note If you have catalogued your files in an image database program, export your data to a text file, then follow the directions in this section to import the text file into an ImageAXS collection. If you used an earlier version of ImageAXS, select all records and choose Export from the File menu. Guidelines to Follow Before Importing Text Files (Professional Version Only): Before you import a text file into ImageAXS Professional, make sure that both the file and your collection are set up to transfer the maximum amount of information easily. Entering Field Data 67 Importing a Text Data File 1. Make sure any date/time fields in your import text file use the same format as your ImageAXS collection. If the formats are not the same, see "Changing Date/Time Field Options" on page 26 to change the date/time format in your ImageAXS collection. If the formats are not identical, ImageAXS will not accept the date/time field(s) in your import file, and the import will fail. 2. Make sure the ImageAXS collection has at least as many data fields as your import text file. If the text file has more fields than the collection, you will not be able to import all of your data. The number of fields in an ImageAXS collection is determined when you create the collection. For details, see "Choosing a Collection Format (Professional Version Only)" on page 45. 3. If you want to attach your text data to existing source files, make sure that one of the fields in your import text file contains the exact Finder name for each of the source files in the ImageAXS collection. You can then identify the file names as a "key field" when you import the text data, ensuring that your data matches up automatically with the correct source file. Guidelines to Follow Before Importing Text Files (Standard Version Only): When you import a text file into the standard version of ImageAXS, each paragraph is imported as a separate data record, with tab spaces separating each data element in the record. In order, the data elements are as follows: · Seven data fields (with a tab space between each of the fields) 68 Chapter 7 Importing a Text Data File · The keywords associated with the record, with a comma between each of the keywords (with no space on either side of the comma) The pathname for the file associated with the record in either standard Web browser URL format (for example, "file:///John'sHD/Photos/Mary. jpg") or standard Macintosh pathname format (for example, "John'sHD:Photos:Mary. jpg") A long description field, using non-letter characters in place of tabs and paragraph returns within the field -- § (press Option-6 on a Macintosh keyboard) for tabs, and ¶ (press Option-7 on a Macintosh keyboard) for paragraph returns · · So, for example, the data for two records in a text import file might appear as follows: Field 1[tab]Field 2[tab]Field 3[tab]Field 4[tab]Field 5[tab]Field 6[tab]Field 7[tab]Keyword 1, Keyword 2, Keyword 3, Keyword 4[tab]John'sHD:Photos:Mary. jpg[tab]This is a picture of my wife, Mary, that I took last summer on our vacation. ¶¶Out of all the pictures I've taken of Mary this year, I think she looks best in this one. Note The ¶ symbol in the above examples is a typed character, not an actual carriage return. Because each paragraph is imported as a separate record, use a carriage return only at Entering Field Data 69 Importing a Text Data File the end of each record (and do not include extra carriage returns between records). If any data element is empty, use consecutive tabs in the text file to maintain the proper position of the other data elements. Importing a Text Data File After checking the guidelines above to confirm the compatibility of your import text file, open the ImageAXS collection into which you want to import the data and follow the steps below. To import text data from a file into a collection: 1. A file dialog box prompts you to select a file to import. Select the file from which you want to import data. Only folders and files that seem to be readable text files will be displayed. [. . . ] Select Include Source Files if you want your source files to be part of the export file. If source files are included, the file will be significantly larger, but it can be imported into ImageAXS for Macintosh as a fully functional collection without having to reassociate data records with source files. (If the file is imported into ImageAXS for Windows, data records will still have to be reassociated with source files, even if source files were included. ) 5. Click OK.
